Viewing and creating templates
Click Settings > Tour templates
Here, you will find Tour Templates available for your Sales Portal.
You can also create your own by clicking +Create new template or duplicating an existing template.
When creating a new template, you’re choosing which tours are displayed in your Sales Portal First. Fill in the basic settings for your template.
- Name: Add a name for the template, e.g. Edinburgh Tours
- Description: Add a description if you’d like
- Use location coordinates: By checking this box, the template will filter tours based on the coordinates you set when you signed up to TourDesk. You can edit them by clicking Portal > Name of your portal > Region and location. If you want to use coordinates other than those already in the system, you can add them next.
- Latitude: Add the exact latitude of your property, e.g. 53.35252213351339,
- Longitude: Add the exact longitude of your property, e.g.-6.259919248965662
- Distance (meters): Add the distance in meters if you'd like to set a specific limit for how to prioritize activities within that radius.
- Hard limit: Only tours within the distance limits from the location coordinates will be visible in the Sales Portal. The tours displayed are filtered by the distance between their starting location from your selected location coordinates,. For example, suppose your hotel location coordinates are located in Edinburgh Center and you select a distance of 500 meters. In that case, all tours within a 500-meter radius of your hotel’s exact location will be included in the template.
- Priority radius: Tours within these distance limits will have higher priority than tours outside of it.
- Click Save
Now you will be able to choose the countries from which you’d like to include tours in your template. Check the Active box on the left-hand side for each of the countries you’d like to include. You can select if you want the tours from each market to be displayed High, Medium, or Low by clicking the buttons on the right.
- If you click here, you can see an overview of all of the tours available in the portal. You can use the filters on the right-hand side to filter out tours you’d like to display or hide. You can also set the displayed tour priorities to High, Medium, or Low depending on where you’d like them to be placed in the Sales Portal.
- If you click this icon, it will be crossed out. This means that new activities for this country won’t be added automatically to your Sales Portal. We recommend that this button remain uncrossed so you can benefit from all the new products we’re constantly adding to the system.
- Note that if you want to hide all tours from specific vendors, click Settings > Tour templates and open the template you want to edit. Click Vendors in the top menu. If you click the eye for either Agent or Sales Portal it gets crossed over. If the eye is crossed over, that means that the tours from this vendor aren’t visible.
When you’ve selected the tours and how they’re displayed, your template is ready to be used. You can activate your template by clicking Portal > Name of your portal > Basic Settings, scrolling down to Tour template and choosing the template you want to display from the drop-down, click Save portal.
